We collect only the information we need to respond to enquiries and deliver our services:
Information you give us
- Contact & quote details — name, company name, email address, phone number, site address or intersection, the service requested, your estimated range, timing, and any notes you submit through our quote form.
- Correspondence — information contained in emails, calls, or messages you send us.
Information we collect automatically
- Technical data — your browser type and the date/time your request was submitted, captured with quote submissions to help prevent spam and abuse.
- Analytics & cookies — if enabled, basic, aggregated website-usage data. See Section 8.
Imagery captured during inspections
- Aerial imagery and data — photos, video, thermal scans, orthomosaics, 3D models, and related survey data of the site you engage us to inspect. This may incidentally capture neighbouring property or individuals.
03 Why we collect it
We use personal information for the following purposes:
- To respond to your enquiry and prepare a quote;
- To schedule, plan, and carry out the inspection or survey you request;
- To produce and deliver reports, imagery, and deliverables;
- To communicate with you about your project, including follow-up and invoicing;
- To meet legal, regulatory, insurance, and safety obligations (including Transport Canada requirements);
- To protect our website and operations from fraud and abuse.
04 Consent
By submitting our quote form or engaging our services, you consent to our collection, use, and disclosure of your personal information for the purposes described above. We obtain consent that is appropriate to the sensitivity of the information. You may withdraw your consent at any time, subject to legal or contractual restrictions and reasonable notice, by contacting our Privacy Officer — though doing so may mean we can no longer provide certain services.
05 How we share information
We do not sell, rent, or trade your personal information. We disclose it only:
- To service providers who help us operate (for example, form hosting, email, cloud storage, or mapping/processing tools), who are bound to protect it and use it only on our instructions;
- Where required or permitted by law, or to comply with a valid legal process;
- To protect the rights, safety, or property of Apex, our clients, or the public;
- In connection with a sale or reorganization of our business, subject to appropriate safeguards.
06 Aerial imagery & third-party privacy
Our work may incidentally capture areas, property, or people beyond your site. We capture only what is reasonably necessary to deliver the requested inspection or survey, store it securely, and share it only with you and as needed to complete your project. If you have specific privacy concerns about a site, tell us in advance and we will plan the flight accordingly.
07 Retention & safeguards
We keep personal information and project deliverables only as long as needed to fulfil the purposes above and to meet legal, tax, and insurance requirements, after which we securely delete or anonymize it. We protect information with reasonable physical, organizational, and technological safeguards appropriate to its sensitivity. No method of transmission or storage is completely secure, but we work to protect your information and to limit access to those who need it.
08 Cookies, analytics & email (CASL)
Our website may use cookies or analytics tools to understand aggregate usage and improve the site. You can control cookies through your browser settings. We send commercial electronic messages only in compliance with Canada's Anti-Spam Legislation (CASL): we contact you to respond to your request, and we will only send promotional email with your consent. Every marketing message includes an easy way to unsubscribe.
09 Your rights — access & correction
You have the right to ask what personal information we hold about you, to access it, and to request a correction if it is inaccurate or incomplete. To make a request, contact our Privacy Officer. We will respond within the timeframes required by law and may need to verify your identity first.
10 Complaints
If you have a concern about how we handle your personal information, please contact our Privacy Officer first so we can try to resolve it. You also have the right to complain to the Office of the Privacy Commissioner of Canada at priv.gc.ca.
11 Changes to this policy
We may update this policy from time to time. The "Effective" date above reflects the latest version. Material changes will be posted on this page.
